I've spent the past couple of evenings working on the application to the IRS for 501(c)(3) status for DC Diamond Circulate, the corporation we've formed to host the 2009 IAGSDC square dance convention in Washington, DC. If the application is successful, not only will DCDC not have to pay income tax but we will be able to give tax-deductible receipts to donors and be eligible to receive grants from most foundations & organizations.

Of course, nothing this useful is ever easy. In order to proceed, I have had to prepare:

  • a conflict of interest policy for the board members;
  • a form for declaring potential conflicts of interest;
  • a description of program to provide goods, services to individuals;
  • a description of program to provide goods, services to groups;
  • officer qualifications, job descriptions, etc.;
  • descriptions of fund-raising programs;
  • a list of states, jurisdictions in which we are fund-raising;
  • a draft budget for the current and next two years; and,
  • a draft balance sheet for the rest of this year.


At least I already had the articles of incorporation and by-laws on hand.

It's times like this I remember that I really don't particularly like filing forms and writing grant proposals. The sad part is that I'm actually pretty good at it. Go figure. At least the home stretch on this particular draft is in sight... I just need feedback from various other committee members on the drafts created thus far.

I don't envy you the next few years - Everyone says being on a conventon board is both rewarding and exhausting. Good luck with the filing!

Has anyone considered using the IAGSDC registration system for the convention? So far, it's only been used for fly-ins, but it was designed to support conventions too. If anyone wants further info, they can contact me via IAGSDC at webmaster@iagsdc.org. I'd be interested in extending the functionality to meet your needs, if anyone wants to work with me on that.

Yeah, it's going to be a lot of work. I find it easiest to work outside of the spotlight so I'm quite content to toil furiously in the backrooms and let others be the public face of the convention.

We don't have a specific volunteer in charge of registrations currently since we're not planning on accepting pre-registrations until May, 2007. Still, it wouldn't hurt to take a look to see what's there. Now would actually be the best time to explore this since we'd have plenty of time to make minor tweaks & extensions before going live in 5/07.

Our next convention planning meeting is April 20, so I'll add this to the agenda to see if there are any takers. There's a strong possibility that I'll be asked to be the registrar but I worry about the overload with my other responsibilities. More news shortly!

Since I want to make the IAGSDC website work as well as possible for clubs and events, I'm willing to bend over backwards to accommodate you :-)
